Article 1: Participants & Designation

1.1
All natural and legal persons established in Belgium who professionally organise events, either on behalf of an external client or as organiser of their own event, are eligible to participate in the competition.

1.2
Natural and legal persons established outside the Belgian borders are not allowed to participate in the BEA Awards.

1.3
The event agency that organises the judging process and the award ceremony of the BEA Awards may not submit cases during the same edition. However, they will be given the opportunity to submit their projects from this competition period for the next edition.


Article 2: Projects

2.1
Eligible to participate in the BEA Awards 2026 are all events organised anywhere in the world by a participant as described in Article 1 of these regulations, between 01/07/2025 and 30/06/2026.
Registrations can be submitted via the “Registrations” tab on this website up to and including 15/07/2026.
The only exception applies to situations described in Article 1.3.

2.3
Each participant may submit a maximum of 5 cases.


Article 3: Trophies and Categories

3.1
The submitted projects will be classified into one of the following categories:

  • B2B Events (organised by a company for business partners)

  • B2C Events (organised by a company for end consumers)

  • B2E Events (staff parties and internal events)

  • Institutional Events (organised by a public organisation)

  • Teambuildings

Each project may only be entered in one category. Upon registration, the agency must indicate the category in which the project is entered, with a brief explanation.
An independent jury chairperson (or chairpersons) – without voting rights – will verify whether the project fits within the chosen category. If necessary, the project will be reassigned to the appropriate category.

3.2
At the end of the registration period, each of the above-mentioned categories must contain at least 4 cases. If this is not the case, the category will be cancelled. The projects concerned will be transferred to another category, provided this remains effective. The participants concerned will be personally informed of these changes.

3.3
During the online preselection round, the jury will decide per category whether sufficient quality is present to award a prize. The jury therefore reserves the right not to award an award in a specific category based on quality requirements.

3.4
During the final round, the jury will award a Golden BEA to the best project in each retained category. Based on quality criteria, the jury will also decide whether to reward the second and third-ranked projects with Silver and Bronze awards.

3.5
At the end of the Final (cf. Article 6.2), the jury of the BEA Awards may unanimously decide to award Special Awards to projects that have distinguished themselves in a specific field (Sustainability, innovation, inclusion, creativity, best ROI/ROO, etc.).
These special awards are not mandatory.
If a project wishes to compete for a Special Award in a specific field, this must be explicitly stated in the presentation and explained by the participant, demonstrating why the project is progressive in this area.

3.6
The Golden and Special trophies differ in shape and size in order to clearly distinguish between the two types of awards.


Article 4: Documents to be Submitted After Registration

Upon registering one or more projects, each participant commits to submitting the following documents within the specified deadlines:

To be submitted to the BEA Awards Secretariat before 15/07/2026:

  • the registration form available on the website www.bea-awards.be;

  • a copy of these regulations, signed with the mention “read and approved”;

  • a signed approval from the client confirming their agreement with participation in the BEA Awards.

To be submitted to the BEA Awards Secretariat before 15/08/2026 (deadline subject to change):

The online preselection file:

  • a PowerPoint document (template available after registration);

  • minimum 10 high-resolution photos;

  • a 3-minute video;

  • a 1-minute video;

  • the agency logo (vector format, .ai or .eps).


Article 5: Jury

5.1
The BEA Awards jury consists of at least 15 Dutch-speaking and French-speaking jury members, both men and women. Each juror holds a position as event, sponsorship and/or marketing manager in a company established in Belgium.

5.2
Depending on the number of finalist projects and the practical organisation of the Final, the jury may be divided into two panels to allow agencies to present their projects under good conditions and within a reasonable timeframe.

5.3
At least 8 jury members must be present during each plenary session.

5.4
Jury members who are directly or indirectly involved in one of the submitted projects may under no circumstances participate in the evaluation of that project.

5.5
The jury operates under the supervision of a chairperson (or chairpersons) who has/have no voting rights.
Their role is to ensure the smooth running of evaluations during both the preselection round and the Final.
The chairperson(s) commit(s) to being present at all sessions.

5.6
During the live final presentations, jury members will assign an individual score to each project using a voting application.

5.7
The list of jury members can be consulted at any time on the website www.bea-awards.be.
Subject to changes, this list will be definitively closed on 30 September 2026 (deadline subject to change).


Article 6: Evaluations

6.1
The jury will evaluate projects based on the following criteria:

6.1.1 Quality of Vision and Strategic Recommendation

  • Did the agency merely execute the client’s briefing, or did it add value to the client’s challenge?

  • Was the client’s objective correctly translated into the agency’s strategic recommendation?

  • Was this recommendation clear, challenging, consistent, bold and relevant to the target audience?

6.1.2 Originality and Effectiveness of the Concept

  • Did the agency’s vision and strategy lead to an original concept?

  • Was the event concept genuinely new?

  • Was the original concept correctly implemented on-site?

  • Did the target audience understand and engage with the concept?

  • Was the proposed concept the best way to achieve the client’s objectives?

6.1.3 Execution, Communication Impact and Promotional Plan

  • When did the agency start and end the “experience journey”?

  • Were the tools and channels used effective?

  • Was the event communication aligned with the brand’s image and tools?

  • Did the agency use innovative or powerful communication tools to raise awareness, interest and enthusiasm?

6.1.4 Return (ROI or ROO)

  • Were the client’s objectives clearly defined and achieved through the event?

  • What initiatives were taken to maximise ROI or ROO?

  • Was the return sufficient, and how was it evaluated by the agency and/or the client?


6.2 Evaluation Process

Preselection (1st round)

Between 01/09/2026 and 30/09/2026, projects will be evaluated online based on the selection file, photos and videos submitted.

Each jury member will individually assess the projects via a web platform and assign a score from 0 to 3:

  • 0: no chance of winning a BEA

  • 1: low chance of winning a trophy

  • 2: interesting project, deserving a live presentation

  • 3: outstanding project with a strong chance of winning a BEA

The projects with the highest scores will be selected for the Final.

Final (2nd round)

The Final will take place in November 2026 (date to be confirmed).
It is open to the public and consists of live presentations of the finalist projects.

All presentations will have the same duration. This duration and the presentation schedule will be communicated to finalists at the end of October.

Each presentation may include photos, documents and videos.

The 1-minute video will also be used to introduce the project during the BEA Awards ceremony.

At the end of the Final, the jury will deliberate behind closed doors and award one Golden BEA per category, as well as, if applicable, Special Awards (cf. Article 3.4).


Article 7: Timing and Procedure

  • Case registration deadline: 15/07/2026

  • Submission of evaluation material: 01/06/2026 – 17/08/2026

  • 1st round online jury evaluation: September 2026

  • Announcement of finalists: October 2026

  • Public defence of projects: to be determined

  • BEA Awards ceremony: November 25, 2026


Article 8: Participation Formalities

8.1
The registration form must be submitted by email to the BEA Secretariat (info@bea-awards.be) no later than 15/07/2026.
Submission of the registration form constitutes official registration and obliges the participant to pay the subsequent invoice, even in case of later withdrawal.

8.2
Any project for which the registration fee has not been paid before 15/07/2026 will be rejected by the committee.

8.3
The participation fee for the BEA Awards is €750 excl. VAT for the first project and €600 excl. VAT for each additional project.

This fee includes per submitted project:

  • registration of the project;

  • 1 ticket for the client for the BEA Awards ceremony;

  • 1 Golden trophy in case of winning.

8.4
Agencies affiliated with one of the Expert Centers of the association acc belgium benefit from a 10% discount on the registration fee.

8.5
Event agencies founded after 01/01/2023 (official Gazette registration serving as proof) benefit from a reduced preselection fee of €210 excl. VAT.
For these agencies, the full registration fee as described in Article 8.3 is only payable if their project(s) advance to the Final.


Jury Code of Ethics

Jury members commit to respecting the following principles:

  • Jury members are selected based on their professional skills and experience in the event marketing industry.

  • Jury members judge and vote honestly and without bias, respecting the evaluation and selection criteria stated in these regulations.

  • To avoid conflicts of interest, corporate jury members may not vote for projects from their own company or subsidiaries.

  • If a personal conflict could affect a jury member’s objectivity, they must inform the coordinator and abstain from evaluating that project.

  • Jury members may not accept invitations from participants (agency and/or client) that could influence their vote. Any such attempt must be reported to the coordinator.
